Group Project Coordinator Lead Needed


Spoken Impact has been in business since 2000. We have worked with over 500 companies in the Twin Cities and trained more than two thousand business professionals and executives to become better speakers and presenters. In the last 12 months we have started a new initiative that has taken off – the Business Edge Speaking Groups. We now have seven groups that need to be managed. We are looking for an outgoing person to take the lead in managing all the details of our groups.

Here are some things that may be helpful to know. This job is for an early morning person who loves to organize and be with people. Our groups meet in various locations around the Twin Cities and therefore the more centrally located you are the better. You will be the “oil” that kept all our groups running smoothly.

You’ll be best suited for this position if you are responsive, dependable, and not afraid of technology (Windows based). You will work independently so initiative and drive are important characteristics as well. Being a great communicator with a customer service oriented mentality is essential. You’ll be handling details, working to meet deadlines all while being calm and personable. Your customer service mentality will make it easy for you to foster relationships with clients and manage their experience in the program. Your flexible nature makes you open and willing to support our fast growth and change as it occurs.

General Responsibilities Include:
Group Host – The majority of our groups meet in the early morning. You will need to be on-site to help with set-up and greet group participants. You will also be responsible for video recording all member presentations, and for ensuring that the video technology is running smoothly. We currently have groups meeting Tues – Friday starting at 6:30AM. Most groups run to 9:30AM.
Video Assistant – After each group, videos need to be edited, uploaded and emailed to participants for their viewing. You will make sure that this is completed in a timely manner.

Weekly Scheduling – During the three-month period of each speaking group program there are a number of member scheduling changes and requests that need to be handled. You will have primary responsibility to help facilitate these changes.

Program Scheduling – In the weeks prior to each group you will be responsible for the preparation involved with the Speaking Groups. This preparation includes developing participant rosters and program schedules and getting them to the Spoken Impact team for print and distribution.

Coordinate Resources – You will be responsible for coordinating all the internal and external resources needed to run each group – from identifying and confirming the location of each group, to group host, to video support to location sponsor.

Member Services – We have a large number of members. You will be responsible for developing relationships with our member base so you can manage their experience in the program. You will be their main contact when questions or concerns arise. You will also be responsible for reaching out to each member to encourage them to sign up for another program. You will be initiating phone calls and emails with our members as well as tracking and reporting responses.

Spoken Impact Support – We are a growing company and have many support needs. You may be asked to help with other training programs, manage lists, website updates and data entry as well as coordinate all the materials for our speaking groups. We also welcome your help with our events.

Position Type: The Speaking Group duties listed above require a commitment of 20-30 hours a week. The position could expand to a full time position if the right candidate has additional skills that can help support our growing team.
